This Privacy Policy explains what information we collect, how we use it, and the choices you have regarding your data when you use our website at https://zainabot.ai, our mobile applications for Android and iOS (collectively, the "ZainaBot.AI App"), and our services.

2. Information We Collect

We collect the following types of information when you use our services:

• Account Information — Your name and email address provided during registration.
• Usage Data — Chat messages, bot interactions, and conversation history generated through your use of our AI coaching bots.
• Payment Information — Billing details processed securely by Stripe. We do not store your full credit card number on our servers.
• Device & Browser Information — Technical data such as your browser type, operating system, and IP address, collected automatically to ensure service functionality.

3. How We Use Your Information

• Provide and operate our AI coaching services.
• Personalize bot responses and tailor your experience based on your interactions.
• Improve, maintain, and develop our services and features.
• Process payments and manage your subscription through Stripe.
• Send service-related communications, including account notifications and updates.

4. AI & Chat Data

Your chat messages are processed by AI models from providers including Anthropic (Claude), OpenAI (GPT), and Google (Gemini), routed through OpenRouter, to generate responses from our coaching bots. Voice messages recorded in the mobile app are sent to OpenAI Whisper for speech-to-text transcription. Messages are stored securely to provide you with conversation history and memory features that improve your experience over time. AI-generated memories help personalize responses across sessions.

We do not sell your chat data to any third party. Your conversations are used solely to deliver and improve the service you have subscribed to.

5. Data Sharing

We do not sell your personal data. We share information only with the following trusted service providers, strictly to operate our platform:

• Stripe — Payment processing and subscription management.
• OpenRouter, Anthropic, OpenAI & Google — AI model processing (Claude, GPT, Gemini) for generating bot responses, and OpenAI Whisper for voice transcription.
• Firebase (Google Cloud) — Infrastructure, authentication, data storage, and push notification delivery.
• Expo Push Service — Delivery of push notifications to mobile devices.
• Resend — Transactional email delivery.

We do not share your data with advertisers or marketing platforms.

6. Mobile App Permissions

The ZainaBot.AI mobile app for Android and iOS may request the following permissions on your device. All permissions are used solely to provide the features described below — we do not access any device data in the background or for purposes other than what the user has actively requested.

• Camera — Used only when you choose to take a photo to upload to a bot for analysis (e.g., asking a bot to review a document or image). Camera access is never used in the background.
• Microphone — Used only when you tap the microphone button in the chat input to record a voice message. Audio is sent to our transcription service, converted to text, and the audio file is not retained after transcription.
• Photo Library / Storage — Used only when you choose to attach an image or PDF from your device to share with a bot. We only access files you explicitly select.
• Push Notifications — Used to send you optional notifications such as scheduled task reminders, new feature announcements, and bot updates. You can disable notifications at any time in your device settings.
• Face ID / Fingerprint (Biometric) — Used only if you enable the optional biometric lock feature in account settings. Biometric authentication is performed locally on your device — we never receive your biometric data.
• Network Access — Required for the app to communicate with our servers and AI models.

You may revoke any of these permissions at any time through your device's system settings. Some features may become unavailable if you revoke required permissions.

7. Data Storage & Security

Your data is stored on Firebase (Google Cloud) infrastructure. All data is encrypted in transit using HTTPS. We use secure, HTTP-only session cookies for authentication. While no system is perfectly secure, we implement industry-standard measures to protect your information from unauthorized access, alteration, or destruction.

8. Your Rights

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate personal data.
• Request deletion of your personal data and account.
• Export your chat history.
• Delete your account at any time from your account settings.

9. Cookies

We use session cookies solely for authentication purposes. These cookies are necessary for the service to function and allow us to keep you logged in. We do not use tracking cookies, advertising cookies, or any third-party analytics cookies.

ZainaBot.AI is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will take steps to delete that information promptly.
